When you use Koya services, we collect the following data via Discord:

  • Your Discord ID
  • Your Discord username
  • Your Discord avatar
  • Basic information about servers where Koya is present
  • Your email address

Additionally, during checkout, we collect your IP address and user-agent for fraud prevention and transaction security.

2. Data Usage

Your data is used to:

  • Operate bot commands and services
  • Manage per-server configurations
  • Process premium subscription payments
  • Contact you when necessary regarding the service
  • Improve our services and features
  • Prevent fraud and detect unauthorized activity
  • Resolve payment disputes

3. Data Retention

Your data is retained as long as you use our services. Upon account deletion or explicit request, your personal data will be deleted within 30 days, except for data required to fulfill legal obligations (such as transaction records for tax or accounting purposes).

Koya maintains log files containing:

  • Actions performed via the bot
  • Technical errors
  • Timestamps of actions
  • Dashboard audit logs (configuration changes)

These logs are retained for a maximum of 30 days and are used solely for security, debugging, and service improvement purposes.

5. Payment Data

Payment processing is handled exclusively by Stripe, which stores credit card information in compliance with PCI-DSS standards. Koya does not store complete credit card details.

Koya stores the following information in activation logs for fraud prevention and dispute resolution:

  • IP address at checkout
  • User-agent (browser and operating system)
  • Email address
  • Product information and transaction status

Koya does NOT sell, rent, or share your personal data with third parties for commercial purposes. Your data remains strictly confidential and is used solely to operate our services.

The only exceptions are:

  • Service providers essential for operating Koya (hosting, payments), who are bound by strict confidentiality obligations
  • Competent authorities, only when required by law
